Redesigning the School Enrolment Experience for Parents and Staff

Improving the communication and transparency between school staff and parents, by displaying the steps involved in the enrolment process.

Project Summary

I spearheaded the redesign of 4 enrolment application user flows for parents/carers to achieve a higher application submission rate, resulting in a 70% increase in submissions, a 10% decrease in user drop-offs, and a 20% reduction in administrative follow-up time.

My role

As the sole Product Designer in this project, I translated user research findings from school administrators and parents into dashboard and email design concepts to improve content clarity and communication with parents.

About Parent/Carer project

This project was based on feedback from surveys, support teams and school interviews where some problems were identified e.g. an increase in school staff workload, an increase in effort from parent/carer to complete a full application, and uncertainty of security and process.

MY CONTRIBUTION

Problem statement

How might we make the enrolment process clear for parents/carers, so that they understand the timings and actions required of them when they submit an Expression of Interest application and full enrolment application to their preferred school(s) of choice?

School administrators face several challenges when communicating with parents about the next steps required for the Full Enrolment application after submitting an Expression of Interest application. The old user flow confused parents about what must be done to complete the two-step enrolment process. These steps included:


  • parents to provide additional supporting documents

  • requesting details about the child to update their student records

  • and other actions that might occur after submitting an expression of interest application to a school.

The enrolment process takes place initially at the start of the public school's enrolment page where parents are given a choice on which type of enrolment form they wish to complete (see enrolment page design below). Although the Moving to High School two-step process page redirects parents to a new page, it doesn't explicitly convey the two-step process. These designs were created before I updated the content to what it currently shows on their Moving to High School website.

My Contribution
  • Led design reviews and presentations with various stakeholders to prioritise designing high-value and impactful UI features.

  • Synthesised research insights to inform design decisions: updated CTAs with clearer instructions and better placement to indicate the status of enrolment applications is still in progress or completed to improve conversion rates of parents completing the full enrolment form.

  • Implemented user tracking behaviour on the click-through rate for CTA buttons and the bounce rate of parents leaving the Enrolment Hub after submitting an Expression of Interest and full enrolment form.
